Who we are

What we collect, and why

When you place an order

Your name, company, email address, telephone number, billing address and delivery address. We need these to take payment, supply the right unit and deliver it to the right place. The lawful basis is performance of a contract.

When you make an enquiry

Your contact details and whatever you tell us about the job. We keep this so we can quote and follow up. The lawful basis is legitimate interests — answering a question you asked us.

When you visit the site

We record your visit so we can understand how people use the site and where our enquiries come from. Specifically we keep:

• a reference number for your browser, stored in a cookie that lasts a year;
• the pages you looked at and when;
• how you arrived — a search, a link from another site, or an advert, including the click reference the advertising platform adds to the address;
• the type of device and browser you used.

This is not linked to your name unless you go on to place an order or send an enquiry. If you do, we join that record to your order so we can see which advert or search led to the sale, and so we can help you properly if you ring us about a basket you did not finish.

The lawful basis for the basic record is legitimate interests — understanding whether our advertising works and whether the site is doing its job. You can object to this at any time using the contact details above, and we will delete your record.

Advertising and analytics cookies (Google Analytics and Google Ads) are only set if you accept them. If you decline, those are not set and no information is sent to Google. The basic record described above still applies, because it is our own record on our own server and does not track you across other websites. See our cookie policy.

Abandoned baskets

If you add items to a basket and give us your email address or telephone number but do not complete the order, we keep that basket so we can follow it up. This is legitimate interests. Tell us to stop and we will delete it and not contact you about it again.

Card payments

Card payments are handled by Stripe. We never see or store your full card number. Stripe processes your payment details as an independent controller under its own privacy policy.

Who we share it with

• Hauliers and delivery partners — the delivery address, site contact name and telephone number, so the driver can find you and get in.
• Stripe — to take payment.
• Our accountants and HMRC — invoices, as the law requires.

We do not sell your information, and we do not pass it to anyone for their own marketing.

How long we keep it

Website visit records are kept for 25 months and then deleted. Records joined to an order are kept for as long as the order record itself, below.

Order and invoice records are kept for seven years, which is the period required for tax. Enquiries that do not become orders are kept for two years and then deleted.

Your rights

You can ask us for a copy of what we hold, ask us to correct it, ask us to delete it where we are not required to keep it, or object to us using it. Write to enquiries@extraspace.co.uk and we will respond within one month.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
